Job Description Oversees student aspects of work-based learning opportunities and outreach within the apprenticeship program for prospective and current apprentices throughout the community and during apprentice enrollment in the apprenticeship program. Responsible for providing students and apprentice prospects coaching and the tools needed to develop valuable job placement techniques, strategies, and knowledge needed to launch a successful job search. Liaises with area employers to help students research current apprenticeship opportunities. Thoroughly understands Harper College programs of study and assists students and companies in matching available positions with candidates. Facilitates the marketing, outreach, and recruiting efforts of students and serves as a liaison to other areas of the college once students enter the apprenticeship program. Also serves as a coach for students in the program and provides regular progress updates on apprentices. Maintains various databases and information systems for candidates and apprentices to assist with compliance related reporting requirements.
Responsibilities Responsible for student compliance with the Department of Labor's RAPIDS requirements. Identifies processes and understands documentation requirements. Serves as primary source of recordkeeping for pertinent student information. Registers apprentices into RAPIDS and maintains documentation and submission of appropriate documentation for DOL registered apprenticeships.
Determines candidate eligibility through collaboration with outreach, admissions, testing & placement, record processing, and the Registrar's Office. Assists potential candidates through the application and college readiness process to resume and interview stages of the apprenticeship program.
Identifies required courses for apprentices each semester based on course map and resolves any discrepancies to ensure timely completion of program. Provides final registration information for entry into the system and monitors course registration for apprentices.
Works in conjunction with registrar's office, advising, and evaluation to update student curriculum maps with course substitutions or prior credit. Notifies Advising and Manager of any changes made to curriculum maps.
Coordinates and develops services, presentations, and programs for students and works in conjunction with the manager to implement new programs to enhance enrollment and apprentice programming.
Coaches students in the Job Placement Resource Center (JPRC) with the necessary skills for employability, including, how to write resumes, interviewing workshops, and other programmatic needs as it relates to apprentice coaching.
Organizes events to recruit new students through information sessions, presentations, orientations, tabling, and attending events and job fairs throughout the community and local school districts.
Coaches apprentices to successfully complete course work and to be successful in the work environment. Collaborates with internal departments to maximize relationships with current apprentices and all workforce coordinators to ensure all concierge services are available and accessible to all students within the program in a timely manner.
Oversees the provision of concierge services to all apprentices (pre-apprentices, registered and non-registered) and ensures apprentices receive all recommended services.
Matches qualified candidates with employer apprenticeship opportunities and serve as the primary point of contact between the college and employer partners during the apprentice hiring season.
Maintains positive relationships with employers by facilitating regular communication regarding apprentice progress including the dissemination of grades, attendance records, and certification or degree information. Notifies manager of any issues that may arise.
Supports other efforts of the JPRC as it relates to events and services congruent within the department.
Participates and assists, as appropriate, with strategic, annual and monthly planning.
Manages CRM (Salesforce) data for student contacts.
Responsible for the creating of marketing/outreach materials for the Apprenticeship Program in conjunction with Marketing Services and the Manager.
Prepares regular reports and updates on progress, outcomes, key performance indicators, student engagement, and communication effectiveness for internal and external stakeholders. Reviews RA and NON-RA processes and DOL requirements to streamline processes.
Creates and maintains a procedure manual for duties identified in this job description.
Maintains confidentiality of the Division.
Performs other duties as assigned.
Qualifications Education: Bachelor's degree, or equivalent required.
Experience Two years' experience working with students. Strong interpersonal and organizational skills and experience networking required. Must have excellent verbal and written communication abilities. Proficiency with Microsoft Office products including but not limited to Word, Excel, PowerPoint, and Outlook. Working knowledge of Oracle and customer relationship software preferred. Works well with constant interruptions and changing priorities; able to independently organize work, set priorities, meet critical deadlines and follow-up on various assignments with a minimum level of supervision.
